Teams can complete Proofenance compliance courses in read, video, and quiz formats, or register certificates and competency evidence from another provider. Proofenance holds the record either way, with completion dates, refresh cycles, and links to the people on your team.

The point is not to replace your existing LMS if you already have one. It is to tie training evidence to the people who touch sales, so auditors can see what each person was qualified to do when they acted on a deal.

UK supervisors expect art market participants to train relevant staff and keep evidence of completion. ProofMarked defends each sale; Platform holds the gallery or dealer answer to who was trained, for which competencies, and when that mattered on a purchase.

Training records in Proofenance are designed for audit, not for course marketing. When HMRC or your MLRO asks whether the person who approved enhanced due diligence was competent at the time, the answer should come from the same system that holds the sale file.

Step 1

Staff linked to the sale in their role

Purchases in Proofenance can link staff members to the sale in the capacity they acted, such as sales contact, compliance reviewer, approver, or another role your process requires. That link is part of the sale record, not a note in a separate system.

When someone approves a threshold, signs off diligence, or passes a stage gate, their role on that sale is visible alongside the action. Supervisors can follow who did what without reconstructing responsibilities from job titles alone.

Step 2

Competencies at the time of the sale

When a staff member is linked to a sale, Proofenance records which competencies they held at that moment, whether earned through Proofenance courses or registered from external training.

That point-in-time snapshot matters for supervisory review. A current LMS export shows today’s qualifications; an audit asks what someone was qualified to do when they approved the deal six months ago. Platform keeps that historical link on the sale.

Step 3

Stage gates and role approvals

Some sales need a specific role to approve before work continues, for example when enhanced due diligence is triggered, a high-value threshold is reached, or your policy requires a compliance sign-off before release.

Stage gates connect gallery or dealer training and role assignment to sale-level controls. You can require that only staff with the right competency or the right role passes the gate. If the wrong person tries to advance the sale, the block is visible and auditable.

Step 4

One chain for auditors

Training completions, external certificates, staff links on sales, gate approvals, and audit logs form a single chain from your policies to what happened on the deal. Access and roles sit in Team & invites; this page is how training and competencies attach to that chain on each purchase.

When you open an HMRC investigation in Platform, training snapshots can sit alongside linked sales and ProofMarked Reports, so nothing critical lives only in someone’s inbox when the deadline moves.
